This section applies specifically to employers who enroll in the WealthNest Finance savings program and the employees of those employers who participate in the program.
Employer data: When an employer enrolls in the WealthNest Finance savings program, we collect business information necessary to operate the program, including company name, Employer Identification Number (EIN), information about Ultimate Beneficial Owners (UBOs) for Know Your Business (KYB) compliance purposes, and read-only access to payroll or HRIS system data to verify employee enrollment. This information is processed in accordance with applicable financial compliance regulations and is not used for any purpose other than operating the savings program.
Employee data: When employees enroll in the WealthNest Finance savings program, we collect personal information necessary to establish and operate their Emergency Savings Account, including name, contact information, date of birth, and identity verification information for Know Your Customer (KYC) and Anti-Money Laundering (AML) screening. Financial account information provided by employees for savings deposit purposes is encrypted and processed through PCI-compliant systems. WealthNest provides Employers only with the data necessary to fulfill savings matches and incentives (e.g., ‘Milestone Reached’). We do not share an employee's external banking account balance or detailed transaction history with their Employer.
We do not sell or share employee personal or financial information with any third party for marketing, advertising, or commercial purposes. Employee data collected through the program is used exclusively to operate the savings program and meet legal compliance requirements.
KYC and KYB data: Identity verification data collected for compliance purposes is processed through our third-party compliance partner and is retained only for the period required by applicable financial regulations, typically a minimum of 5 years from the end of the customer relationship.
Employer's role as data controller: For employee data that employers provide to us in connection with the WealthNest Finance savings program (such as employee rosters), the employer acts as the data controller and WealthNest Finance acts as a data processor. Our data processing agreement with employers governs the handling of this data.
